BOOKINGS AND RECEPTION FOR CLIMBING VENUES

Climbing gym booking software for sessions and reception

Configure bookable activities, attendee choices and session capacity, then connect the booking with applicable waiver and arrival checks. Add reception sales and configured hire functions where they fit your centre’s operation.

These are configurable booking and EPOS functions. Climbing competency checks, safety procedures and equipment inspections remain separate requirements.

BEFORE THE VISIT

Define the activity and places customers can book

Activities and sessions

Configure the activities, durations and availability customers can select. Explain clearly what each booking includes.

Attendee choices

Set the relevant attendee categories, prices and supported dependencies. Confirm how your centre’s requirements should be represented.

Capacity limits

Configure guest capacity separately from booking-count limits. Activity capacity does not by itself allocate a wall, route, instructor or equipment resource.

Generic activity-booking demonstration. This does not show climbing resource allocation or competency checks.

CUSTOMER DETAILS AND WAIVERS

Use the checkout journey required by the activity

Required-waiver activities

Select the appropriate waiver template and disable guest checkout. Confirm the signing entry point and which attendees are covered by the record.

Payment and confirmation

Online payment requires the relevant gateway configuration. Booking confirmation depends on the configured process and recorded payment result.

A recorded signature does not establish belay competency, completion of an induction or verified authority to sign for another person. Confirm those requirements through the appropriate venue procedures.

AT RECEPTION

Review booking readiness before recording arrival

Find the booking

Staff can use booking search or booking QR lookup to identify the relevant record.

Check the applicable requirements

Availability to check in depends on the booking window, status, payment and waiver conditions. Resolve outstanding requirements through the supported staff process.

Follow the centre’s admission procedure

Keep software check-in distinct from any competency, supervision or equipment checks your centre requires. Partial arrivals and repeat entry need their own confirmed workflow.

Optional kiosk check-in is a separate customer-facing journey. Demonstrate how visitors get staff assistance and how it fits your reception process before offering it.

OPTIONAL EQUIPMENT HIRE

Record hire without treating it as an inspection record

Configured hire functions support rates and records for issue, return, loss and extension. Standalone hire requires a customer account, and activity-linked hire has its own configuration.

Confirm how staff record physical handover and return. A hire transaction does not establish equipment sizing, individual asset identification, inspection history or fitness for use.

OTHER RECEPTION TASKS

Add the sales and customer functions your centre needs

Counter sales

Staff can select products, find customers and handle eligible orders through the POS workflow. Confirm payment methods and any relevant preparation handover.

Membership benefits

Explore configured membership plans and selected discounts. A scannable membership credential does not by itself establish unlimited entry or gate access.

Reporting

Review supported booking, payment and product reports using the available periods, filters and permissions. These records do not track climbing performance or competency.

TEST YOUR CENTRE’S REQUIREMENTS

Demonstrate the visit and identify the separate specialist checks

What customers book

Show the activity, session and attendee choices you want to offer. Identify any instructor or resource allocation that needs separate confirmation.

What happens before arrival

Walk through customer details, signing, payment and confirmation. Check the required-waiver configuration.

What reception verifies

Demonstrate booking readiness and define the competency, supervision or induction checks that remain outside the established workflow.

What staff sell or issue

Confirm reception sales, any hire handover and the equipment and modules required. Obtain the applicable service terms in writing.

QUESTIONS BEFORE YOU CHOOSE

Climbing gym booking software questions

Can customers book a climbing activity into a session?

Configured activities support attendee choices and date or slot selection. Confirm that the setup represents the visit you intend to offer; it does not automatically allocate a particular wall, route or instructor.

Can a required waiver be combined with guest checkout?

No. A waiver-required activity needs a selected template and guest checkout disabled. Confirm the signing journey and attendee coverage separately.

Does the software verify climbing competency or safety induction?

Those functions are not established by booking and waiver records. A recorded signature or check-in does not verify belay competency, completion of a briefing or safe equipment use.

Can the system manage hired equipment?

Configured hire supports issue, return, loss and extension records. Equipment sizing, individual asset tracking, inspection and maintenance functions require separate evidence.

Does membership provide automatic or unlimited admission?

Not necessarily. Membership records and benefits do not by themselves establish an admission entitlement, gate connection or unrestricted repeat entry. Demonstrate the access arrangement your centre requires.
