VENUE equipment rental
Equipment Rental Software
Configure hire-enabled products with hourly or daily rates. Record equipment issued, returned, lost or extended, using the supported standalone or activity-linked hire journey.
Standalone hire requires a customer account. Available journeys and stock movements depend on the hire configuration.
CONFIGURE WHAT YOU HIRE
Set up hire products, quantities and rates
Hire-enabled products
Enable hire on the relevant product and use the supported quantity and purchase-or-hire options.
Hourly or daily rates
Configure hourly or daily hire rates. Confirm the selected rate unit and expected return details for the standalone hire journey.
Customer assignment
Associate hire with the relevant customer through the supported workflow. A customer account is required for standalone hire.
TWO HIRE CONTEXTS
Offer standalone hire or connect it with an activity
Standalone hire
Use the customer-linked hire journey with the selected rate unit and expected return. Demonstrate how staff create and manage the hire before putting it into operation.
Activity-linked hire
Include configured hire options alongside an activity slot. Confirm how the booking, issue and return records relate to the actual equipment handover.
A scheduled or automatic record update must not be treated as proof that equipment has physically been handed out or returned.
EQUIPMENT HANDLING
Follow the hire from issue to its recorded outcome
Review the hire queue
Use the supported queue and customer assignment to identify the hire that needs to be handled.
Record equipment issue
Record issue through the hire workflow. Stock is reduced at issue under the supported process, rather than assuming product selection alone completes the handover.
Record the outcome
Use the available return, loss or extension actions to update the hire record. Confirm how each action affects quantities, charges and the remaining hire before relying on it.
RETURN TIMES AND EXTENSIONS
Confirm how duration affects the hire
Hire configuration supports hourly or daily rates, extensions and overdue increments. Walk through the applicable rate and timing rules so staff understand how an extended or overdue hire is recorded.
Confirm the calculation, trigger and collection process for any additional amount. Support for overdue increments does not by itself establish automatic payment collection or customer reminders.
HIRE AND STOCK RECORDS
Keep equipment handling connected to stock movements
The stock movement ledger includes supported hire issue, return and loss events. Use those records to review changes associated with the hire workflow, subject to the available access.
Stock quantities are not the same as reservation availability. Confirm any need to prevent overlapping hires, track individual serial-numbered assets or accept returns at another location separately.
CONFIRM THE COMPLETE PROCESS
Match the setup to how your team handles equipment
Start with the products you hire, how long customers keep them and who records the handover. Then demonstrate returns, losses, extensions and the stock changes relevant to your operation.
If you require partial returns, deposits, damage charges, refunds or individual asset tracking, include those requirements in your demonstration request. They are not established by the basic hire workflow described here.
