BOOKINGS AND EPOS FOR SOFT PLAY Centers
Indoor Play Center Booking & POS Software
Configure timed activities, attendee choices and capacity, then connect the booking with arrival checks and on-site sales. Build the relevant customer and staff journeys around how your soft play center operates.
Available functions depend on configuration. Activities requiring a waiver must use the selected waiver template with guest checkout disabled.
BEFORE THE VISIT
Give customers a clear route to their chosen session
Choose the activity
Customers select the available location and activity through the configured booking journey. Use activity names and descriptions that accurately reflect what the booking includes.
Select attendees
Customers choose attendee categories and quantities, with configured prices and category-dependency rules. Confirm how your venue’s child and accompanying-adult requirements should be represented.
Pick a session and complete checkout
Customers select an available date and slot, provide the required details and follow the configured checkout. Online payment requires the relevant gateway setup, and confirmation depends on the booking and payment process.

SESSION PLANNING
Keep attendee places and booking limits distinct

Guest capacity
Configure the attendee capacity available for an activity slot. Confirm which attendee categories count towards the limits used by your venue.
Booking-count limits
Control booking numbers separately from guest capacity. One booking can contain several attendees.
Category rules and extras
Configure supported category dependencies and optional products or extras. Do not assume that a sample supervising-adult rule or product makes the same requirement apply to every activity.
Guest checkout can omit attendee names while category quantities still count towards capacity. A booking total is not the same as a named attendee register.
CUSTOMER DETAILS AND WAIVERS
Choose the checkout journey that matches the activity
Activities without a required waiver
Guest checkout can be available where configured. Customers still provide the details required by the booking journey.
Activities requiring a waiver
Select the relevant waiver template and disable guest checkout. Signing and arrival checks then depend on the configured waiver workflow.
Confirm who signs and which attendees are covered. Recording a signer and attendee relationship does not by itself establish verified guardian authority.
AT RECEPTION
Check the booking against its arrival requirements
Staff can find bookings through search or booking QR lookup and review the available attendee records. Check-in eligibility depends on the configured window, booking status, payment and waiver requirements.
Repeating the same booking check-in does not repeat its associated stock or kitchen release. Partial family arrivals and repeat entry need their own demonstrated process.
OPTIONAL SELF-SERVICE ARRIVAL
Offer kiosk check-in where it fits your reception
A configured kiosk can provide booking QR check-in and a short on-screen result. Confirm the equipment, customer journey and route to staff assistance before adding it to reception.
The kiosk screen is a customer-facing option, not evidence of the staff check-in interface.

DURING THE VISIT
Add the relevant on-site sales and customer tools
Café and product sales
Staff can use the supported POS catalog and order workflow for on-site purchases. Eligible preparation items can reach a configured kitchen display at the supported release stage.
Explore café EPOS systemsSeveral attendees in one booking
Use configured attendee categories, quantities and limits for shared visits. This does not establish a bundled party package or exclusive room allocation.
Explore group activity bookingsMembership benefits
Consider configured memberships and selected discounts where relevant. A membership record does not by itself grant unlimited visits or automatic admission.
Explore membership managementSESSION COMMUNICATION
Confirm the tools and staff procedures used during a session
Session color and voice-announcement functions are available subject to configuration. Demonstrate when they are used and what staff need to do.
Physical wristbands remain a venue procedure unless a separate issuance workflow is confirmed. Session indicators do not establish access-gate control, live occupancy or automatic overstay handling.
DEMONSTRATE YOUR SOFT PLAY SETUP
Test the visit your customers and staff will experience
Attendees and capacity
Show your category, accompanying-adult and capacity requirements. Confirm how the supported rules represent them.
Checkout and waivers
Demonstrate the appropriate guest or waiver-required journey, including payment and confirmation.
Arrival and exceptions
Check the staff and optional kiosk process. Demonstrate any need for partial arrivals, missing waivers or repeat entry separately.
On-site service and terms
Confirm the café, equipment and other modules you require. Obtain the quotation’s inclusions and any installation, training, support or trial terms in writing.
Compare plans for your business
Review the included features and confirm any hardware or additional services required for your setup. Trials last one calendar month and require verification and approval. Review the Direct Debit setup and billing dates during registration.

Each additional location is priced separately; ask about a possible multi-location discount. Plan eligibility still depends on the relevant configured workflow and the offered setup. Appointment requirements are discussed rather than a promise of dedicated appointment booking. Confirm the customer-facing reservation journey, equipment, printer connection, paid membership billing, payment processing, support and contract terms in a written quote. Trials require verification and approval.
QUESTIONS BEFORE YOU CHOOSE
Soft play booking software questions
Can customers book a timed soft play session?
Yes. Configured activities support customer date and slot selection, attendee categories and quantities, with the relevant capacity and booking limits.
Can child and accompanying-adult rules be configured?
Attendee categories and dependency rules are supported. Confirm the exact age bands, quantities and capacity treatment needed for your venue rather than assuming a demonstration’s rules apply universally.
Can customers use guest checkout if a waiver is required?
No. A waiver-required activity needs the selected waiver template and guest checkout disabled. The applicable signing and check-in requirements must also be configured.
Can customers check in using a kiosk?
Configured kiosk booking QR check-in is supported. Confirm the device setup and how customers get staff assistance when needed.
Does the system include party packages or unlimited membership entry?
Those capabilities are not established by multi-attendee bookings or membership records alone. Ask to see any exclusive-party, package or admission entitlement you intend to offer.
