Group activity booking software for shared visits

MULTI-ATTENDEE ACTIVITY BOOKINGS

Group Activity Booking Software

Let customers book several attendees into an activity, with configured attendee categories, prices and group-size limits. Connect their chosen session with the customer details, optional extras and checkout requirements relevant to the visit.

This workflow supports multiple attendees within an activity booking. Party packages and exclusive room hire require separate confirmation.

DEFINE THE GROUP

Set attendee choices and booking limits

Configure how customers select their attendees and how each booking fits within the activity’s available capacity.

Attendee categories

Offer configured attendee categories and prices. Customers select the quantities relevant to their booking.

Minimum and maximum guests

Set the supported minimum and maximum guest limits for the activity booking.

Session guest capacity

Use guest-capacity limits to control the number of attendee places available within the activity setup.

Booking-count limits

Limit the number of bookings separately from attendee capacity. Several attendees in one booking are not the same as several separate bookings.

PLAN THE SHARED VISIT

Bring the group’s choices into one booking journey

1

Choose the activity and session

Customers select an activity, date and available time slot through the configured booking journey.

2

Select attendees and relevant options

Customers choose attendee categories and quantities. Products, per-slot tables or hire options can be included where enabled.

3

Provide details and complete checkout

Collect the required customer contact information and follow the configured payment and waiver steps. A confirmation email can be sent when configured.

Selecting an activity with a party-related name does not by itself establish exclusive use of a room or resource. Confirm any private-use requirement before offering it to customers.

OPTIONS FOR THE ACTIVITY

Add relevant choices without assuming a party package

Configured products, table selection and hire options can form part of the activity-booking journey. Confirm which options apply to each session and what information the customer needs to provide.

These choices do not automatically create a bundled party package, reserve an exclusive space or send a catering instruction to the kitchen. Demonstrate those requirements separately if they are part of the visit you want to sell.

CUSTOMER DETAILS AND CHECKOUT

Match the booking to its payment and waiver requirements

Customer and attendee details

The booking collects required customer contact information. Guest checkout omits attendee names, so it should not be treated as a named attendee list.

Waiver requirements

Guest checkout cannot be used where a waiver is required. Configure the waiver journey and confirm which attendees are covered by the recorded signatures.

Online payment

Hosted online payment is available with the required gateway configuration. Payment confirmation depends on the result returned through the payment process.

Deposits, instalments and scheduled balance collection are not included in the group-booking workflow described here.

AFTER THE BOOKING

Handle changes and arrivals through the supported workflows

Session changes and cancellation

Staff slot moves recheck capacity. Customer booking viewing and cancellation depend on booking state and the configured cancellation window. Do not assume attendee quantities or extras can be edited after booking.

Group arrival

Plan how staff will find the booking and check its arrival requirements. A booking containing several attendees does not by itself establish partial check-in or separate redemption for each person.

Cancellation and financial handling depend on the booking and payment state. Cancellation does not promise an automatic refund.

QUESTIONS BEFORE YOU CHOOSE

Group activity booking questions

Can one booking include several attendees?

Yes. Customers can select quantities across the attendee categories configured for the activity, subject to the applicable guest and capacity limits.

Can I set a minimum or maximum group size?

Configured minimum and maximum guest limits are supported. Guest capacity and booking-count limits provide separate controls within the activity setup.

Does a group booking reserve a private room?

Not necessarily. An activity selection or party-related activity name does not establish exclusive room or resource allocation. Ask us to demonstrate any private-use requirement before offering it.

Can customers add products or other options?

Products, per-slot tables and hire options can be included where configured. Their availability does not establish a dedicated party package or automatic catering handover.

Can customers change the group size after booking?

Later changes to attendee quantities or extras are not established by the workflow described here. Staff slot moves are supported with a capacity recheck; confirm any other editing requirements separately.

Can I take a deposit for a party booking?

Configured hosted online payment is supported, but a deposit schedule, instalments or later balance-collection workflow is not established here. Confirm those requirements before promising them to customers.
