Keep the details needed to manage stocked items
Product records bring together identification, location, pricing and stock information. Stocked status determines whether an item participates in inventory tracking.
Product identification
Record the stock code or SKU, description, category and unit. Use the sortable, customisable stock list to review product records.
Stocked quantities and location
Associate records with a location and enter opening quantities for stocked products. Keep inventory quantities separate from booking or activity capacity.
Price, cost and tax
Maintain the price, cost and tax fields used by the product setup. Confirm the reports and valuation calculations available before relying on a particular reporting method.
Low-stock and reorder settings
Set a low-stock warning threshold and default reorder quantity. These settings support stock review; they do not by themselves establish automatic notifications or replenishment.
COUNTS AND QUANTITY CHANGES
Record adjustments and reconcile physical stock
Reasoned adjustments
Record a stock adjustment with a reason so the quantity change has context.
Scanning to add quantity
Scan an existing stocked item to add quantity through the supported workflow. Confirm compatible scanning equipment and the intended staff process.
inventory counts and reconciliation
Record physical counts and reconcile them with stock records. Review prior count results when checking previous inventory counts.
SUPPLIERS AND PURCHASE ORDERS
Prepare replenishment around your suppliers
Use supplier records and linked low-stock information to organize purchasing. Supplier-specific purchase-order drafts bring the relevant items together.
Review supplier-linked stock
Review low-stock items grouped by their linked supplier, alongside the configured reorder information.
Prepare the purchase order
Consolidate items into a supplier-specific purchase-order draft and review the available order history.
Send where configured
Numbered, emailed purchase orders require the supplier’s purchase-order preference and the required email and SMTP configuration.
Purchase-order preparation does not imply automatic supplier ordering or an approval workflow. Confirm the process your staff will follow.
GOODS RECEIPT
Receive stock against the purchase order
Find a purchase order using its full reference or an unambiguous shortened reference. Receive goods against the purchase-order lines to update stock through the supported receipt workflow.
Confirm how your setup handles partial deliveries, quantities above the order and corrections before using those scenarios. They should not be assumed from the standard goods-receipt function.
STOCK MOVEMENT RECORDS
Review the recorded changes behind a stock balance
The stock movement ledger includes records for receipts, adjustments, counts, sales and supported hire issue, return or loss events. Access can depend on role or plan.
Confirm when each sales channel changes stock and how refunds or cancellations affect it. The presence of a movement type does not establish every deduction or restoration rule.
KEEP THE CONTROLS DISTINCT
Product stock is one part of your venue setup
Product inventory is separate from activity capacity, booking-count limits, hire availability and kitchen preparation tickets. Configure each around the work it controls.
If you need ingredient recipes, bundles, unit conversion or transfers between locations, ask us to demonstrate those requirements separately before including them in your operating process.
QUESTIONS BEFORE YOU CHOOSE
Stock management software questions
Which products are tracked as inventory?
Stocked status controls whether a product participates in inventory tracking. Stocked product records include the relevant location and quantity information.
Can I carry out a stocktake?
Yes. Physical counts and reconciliation are supported, with prior count results available for review.
Can low-stock items help me prepare supplier orders?
Yes. Linked low-stock items can be grouped by supplier and consolidated into supplier-specific purchase-order drafts. This does not establish automatic ordering.
Can purchase orders be emailed to suppliers?
Emailed purchase orders require the supplier’s purchase-order preference and the relevant email and SMTP configuration.
Does receiving a purchase order update stock?
Goods receipt updates stock through the purchase-order lines. Confirm partial deliveries, over-deliveries and correction handling for your setup before relying on those scenarios.
Do refunds automatically put items back into stock?
The exact stock restoration rules for refunds and cancellations need to be confirmed for each supported transaction journey. Do not assume every refund returns a physical item to available stock.
